We are looking for an Accounting Assistant to support daily office and accounting operations for a construction-focused organization in Salem, Massachusetts. This Long-term Contract position is ideal for someone who is organized, dependable, and comfortable balancing financial tasks with front-office and administrative support. The role will contribute to smooth day-to-day operations by handling payables and receivables, maintaining accurate records, and assisting with general office coordination.
Job Responsibility
Process incoming invoices, match supporting documentation, and help ensure vendor payments are prepared accurately and on time
Assist with billing activities, record customer payments, and maintain organized accounts receivable documentation
Enter financial and administrative information into internal records with a strong focus on accuracy and completeness
Provide day-to-day office support, including answering phones, greeting visitors, and directing inquiries appropriately
Monitor office inventory levels and coordinate the ordering of supplies needed for daily operations
Maintain orderly filing systems for accounting and administrative documents to support efficient retrieval and compliance
Support general administrative tasks such as preparing correspondence, updating records, and assisting with routine office coordination.
Requirements
Experience supporting office administration in a business environment with strong attention to detail
Working knowledge of accounts payable and accounts receivable processes
Strong data entry skills with close attention to detail and accuracy
Ability to manage receptionist and front-desk responsibilities in a courteous manner
Experience tracking, maintaining, and ordering office supplies
Proficiency with standard office software and basic accounting systems
Strong organizational skills with the ability to handle multiple priorities effectively.
