We are looking for an experienced Part-Time Accounting Assistant to support daily office and financial operations for a small manufacturing business in Indiana. This contract position with permanent potential is ideal for someone who can step in with minimal direction, stay organized, and take ownership of important administrative and accounting tasks. The right candidate will be comfortable working with invoices, purchase orders, vendor communication, and business systems while helping reduce the day-to-day workload of company leadership.
Job Responsibility
Manage day-to-day accounting support activities, including entering and tracking vendor invoices accurately and on time
Prepare, review, and maintain purchase orders to support ongoing business and production needs
Use QuickBooks to record transactions, organize financial information, and keep records current
Communicate with vendors to address billing questions, confirm order details, and help maintain strong business relationships
Support office operations by identifying tasks that need attention and handling them proactively with limited supervision
Maintain customer and business information within CRM and HubSpot systems to keep records organized and accessible
Assist with general administrative coordination, including routine follow-up, documentation, and scheduling support as needed
Contribute to process updates or office system changes when required as part of ongoing operational needs
Requirements
Prior experience in an accounting assistant, office support, or similar administrative finance role
Hands-on working knowledge of QuickBooks in a business environment
Experience creating and processing purchase orders and entering vendor invoices
Ability to communicate professionally with vendors, customers, and internal stakeholders
Familiarity with CRM platforms, including HubSpot or similar customer management systems
Strong organizational skills with the ability to manage multiple tasks independently
Comfortable stepping into a Small Business environment and contributing with minimal training
