This contract-to-permanent position offers an opportunity to support critical financial and administrative functions within a community-focused organization. Job Responsibility:
Assist the Executive Director by managing schedules, coordinating communications, and handling correspondence and travel arrangements
Organize and support Board of Directors activities, including preparing meeting agendas, recording minutes, and maintaining board documentation
Provide administrative assistance to the Senior Leadership Team, including scheduling meetings, proofreading reports, and managing special projects
Process donor-related tasks such as data entry, gift acknowledgements, and event coordination
Execute payroll processing and maintain employee data utilizing PayChex software
Prepare bank deposits and perform routine financial administrative tasks
Track and manage various projects and responsibilities, ensuring deadlines and priorities are met
Support governance committee activities by documenting meeting minutes and preparing materials for board and committee discussions
Utilize software tools like Boomerang to enhance productivity and streamline administrative tasks
Requirements:
Proven experience in administrative and financial roles, with a focus on accuracy and organization
Proficiency in accounting processes, including Accounts Payable (AP), Accounts Receivable (AR), and bank reconciliations
Familiarity with payroll systems such as PayChex and strong data entry skills
Advanced knowledge of Microsoft Excel and other computer applications
Strong communication and interpersonal skills to effectively interact with various stakeholders
Ability to manage multiple priorities while maintaining attention to detail
Commitment to working onsite in Niagara Falls, New York, Monday through Friday, with flexibility as needed

Experience preparing materials for presentations and meetings is a plus
