Job Description

We are seeking a reliable and detail-oriented Accounting Assistant / Administrative Support detail oriented for a contract position with a local supply company. This role is primarily administrative in nature, with some basic accounting support and light soft collections follow-up. The ideal candidate will be easy to train, able to follow directions closely, and comfortable handling repetitive tasks with accuracy.

Job Responsibility

  • Provide high-level administrative support to the office/team
  • Assist with basic accounting-related tasks as needed
  • Support light soft collections, including follow-up calls or emails on outstanding items
  • Operate an inserter machine used for processing documents/mailings
  • Handle data entry, filing, document preparation, and general office tasks
  • Follow detailed instructions and established procedures
  • Maintain accuracy and attention to detail in all assigned work
  • Communicate professionally with internal staff and external contacts

Requirements

  • Prior administrative, office support, or accounting assistant experience preferred
  • Basic soft collections experience is a plus, but not required
  • Strong attention to detail and accuracy
  • Ability to follow directions and learn new processes quickly
  • Reliable, trainable, and detail oriented
  • Comfortable working around and operating large office machinery, including an inserter machine
  • Basic computer and office software skills
  • Experience handling accounts payable and accounts receivable activities in a business setting
  • Ability to perform bank reconciliations with strong attention to detail and accuracy
  • Working knowledge of QuickBooks for transaction entry, record maintenance, and reporting support
  • Skill in reviewing and coding invoices according to established accounting practices
  • Strong organizational abilities with the capacity to manage multiple financial tasks efficiently
  • Clear communication skills and a dependable approach to supporting accounting deadlines
