Job Description:

Hannah Savage with Robert Half is working with a construction organization looking for an Accounting/Administrative Assistant to support payroll, accounting, and office operations for a busy team in Bloomfield, New York. This position blends financial administration with day-to-day coordination, requiring strong attention to detail, sound judgment, and the ability to manage multiple deadlines. The ideal candidate will bring experience handling payroll activities, maintain accurate financial records, and keeping administrative processes organized and efficient.

Job Responsibility:

  • Administer weekly payroll processing, including certified payroll reporting, with a high level of accuracy and timeliness
  • Complete onboarding administration by gathering employment documents and entering new team members into the payroll system
  • Prepare required payroll-related disbursements such as child support, garnishments, and recurring federal and state tax payments
  • Handle unemployment documentation and other employment-related records as needed to support compliance requirements
  • Produce monthly union remittance reports, coordinate required organization cards, and update wage and fringe benefit information in the Timberline system
  • Arrange employee medical testing and assist with related scheduling and follow-up activities
  • Oversee accounts payable tasks by entering invoices, organizing payment activity, and processing checks
  • Support accounts receivable functions by issuing customer invoices, recording incoming payments in Timberline, and following up on outstanding balances
  • Maintain orderly financial, administrative, and project files, set up new jobs in Timberline, and collect customer tax-exempt certificates and subcontractor insurance documentation when required

Requirements:

  • At least 3 years of experience in an accounting, payroll, or administrative support role
  • Working knowledge of accounts payable, accounts receivable, invoice processing, and data entry best practices
  • Experience processing payroll, including union-related payroll activities and reporting
  • Strong organizational skills with the ability to manage confidential information and maintain accurate records
  • Ability to prioritize multiple responsibilities and meet recurring weekly and monthly deadlines
  • Clear written and verbal communication skills for coordinating with employees, customers, unions, and external agencies
