This permanent, on-site position is suited for someone who enjoys keeping financial records accurate while also helping the office run smoothly. The ideal candidate will be comfortable supporting payroll, accounting activities, and day-to-day administrative tasks in a collaborative environment.
Job Responsibility:
Support weekly payroll activities by organizing time-related data, updating records, and helping ensure timely processing
Prepare recurring payroll-related reports for county agencies and New York State while maintaining documentation for compliance purposes
Complete prevailing wage reporting and review subcontractor payroll submissions to verify accuracy and required information
Assist with accounting operations by helping post journal entries and maintain organized general ledger records
Contribute to job cost tracking by entering financial data and helping compare project costs against accounting records
Perform bank account balancing tasks and support reconciliation work related to payroll and the general ledger
Create, update, and maintain spreadsheets and internal documents that help project managers monitor reporting, project status, and supporting records
Keep payroll, accounting, and office files current and well organized for efficient retrieval and audit readiness
Track company equipment and other assets while helping coordinate routine office administration, mail handling, and document distribution
Requirements:
At least 2 years of experience in an accounting, payroll, or administrative support role
Working knowledge of accounts payable, accounts receivable, invoice processing, and accurate data entry practices
Experience assisting with payroll administration and maintaining detailed financial records
Proficiency with Microsoft Excel and Microsoft Office for reporting, tracking, and document preparation
Familiarity with Sage Timberline or similar accounting software used in construction or project-based environments
Strong attention to detail with the ability to manage multiple responsibilities in a structured office setting
Clear communication skills and the ability to work effectively with internal teams, subcontractors, and project staff
