We are looking for a detail-oriented Accounting Administrative Assistant to join our team in Maitland, Florida. In this Contract to permanent position, you will play a vital role in supporting various administrative and accounting tasks while ensuring smooth day-to-day office operations. Job Responsibility:
Schedule and coordinate meetings, manage calendars, and process expense reports using Concur
Handle purchasing-related tasks, including invoices, budget tracking, accruals, check requests, and billing
Organize and oversee project site and office events to ensure seamless execution
Manage incoming and outgoing mail distribution and maintain office supply inventory
Maintain both physical and digital records in compliance with established retention guidelines
Provide reception coverage and prepare data in various formats as needed
Oversee pre-employment screenings such as drug tests, Motor Vehicle Records (MVRs), and E-Verify processes
Ensure audit compliance by maintaining accurate and up-to-date records
Perform additional administrative duties as assigned to support team operations
Requirements:
At least 1 year of experience in administrative or accounting support roles
Proficiency in managing accounts payable, coding invoices, and performing bank reconciliations
Familiarity with Concur and other expense reporting systems
Strong organizational skills, including the ability to coordinate schedules and manage purchasing functions
Experience with budgeting, expense accruals, and billing processes
Ability to handle mail distribution, maintain office supplies, and manage electronic and physical records
Excellent communication skills, with the ability to provide receptionist support and assist with applicant screenings
Knowledge of audit compliance procedures and record maintenance
