Job Responsibility:
Maintain and update purchase order, contract, and project-related records across business systems to ensure complete, accurate, and timely information
Review transactions and supporting details for inconsistencies, then correct coding, budget, invoice, and vendor data issues before they affect operations
Perform routine audits and validation checks to protect data quality and confirm adherence to internal procedures and policy requirements
Prepare reports and analysis that support budget tracking, operational planning, and decision-making for store development activities
Investigate reporting and system-related issues, identify root causes, and provide practical solutions for moderately complex data problems
Collaborate with procurement and other internal partners to address vendor setup concerns, onboarding details, and record maintenance needs
Improve workflows by identifying opportunities to streamline manual tasks through automation, system enhancements, and more efficient processes
Support users and stakeholders with timely responses, clear communication, and guidance on purchase order and data management practices
Requirements:
High school diploma and 1–2 years of experience in accounting support, data management, procurement coordination, or a related field
Proficiency in data entry and record maintenance with strong attention to accuracy and completeness
Working knowledge of Microsoft Excel and the ability to organize, analyze, and report information effectively
Experience reviewing invoices, budgets, account coding, or purchase order details in an operational or financial environment
Ability to research discrepancies, solve problems independently, and manage multiple priorities within established timelines
Strong communication and customer service skills with the ability to work effectively with vendors and internal stakeholders
Familiarity with auditing practices, policy compliance, and process improvement in a fast-paced business setting
