Reporting organizationally to the Accommodation Manager in Rio de Janeiro, the Accommodation Coordinator will help serve Accommodation efforts for the FIFA Women’s World Cup 2027™ is hosting 32 teams and 700+ players across Brazil and 8 host cities/ venues. This role will be responsible for coordinating lodging and hotel-related arrangements for the event, ensuring a smooth and comfortable experience for teams, participants and attendees. Further, this role will have a range of responsibilities, including contracting hotels, coordinating inventory, F&B, AV, meetings space, and reconciling and reporting.
Job Responsibility:
Contract hotels ensuring they meet quality standards and core group requirements
Ensure hotels comply with all contractual obligations
Execute tasks and addendums necessary for adjustments to hotel contracts
Coordinate reservations, rooming lists, changes and requests for core groups
Provide excellent customer service to official tournament guests
Coordinate hotel room blocks, meeting space, F&B, AV, group requirements, hotel communications and reservation management
Provide resources and information to guests, create presentation materials
Support booking and reservation processes for guests
Keep all necessary internal and external reporting up to date
Ensure held inventory is in accordance with remaining demand
Attend site visits, familiarize with hotels and tour constituent groups
Coordinate the reconciliation, billing and closeout at hotels and with groups
Support and address unforeseen changes, cancellations, or emergencies in accommodation arrangements
Build strong relationships with designated groups to provide excellent experience within the overall accommodation strategy
Consider all operational aspects when coordinating hotel arrangements, e.g., transportation, logistics, security
Uphold and enforce high standards of customer service
Establish relationships with the hotel industry to provide the best overall value for FIFA
Ensure records of accommodation bookings, rooming lists, etc. comply with data integrity and protection regulations
Coordinate various ancillary projects in leadup to the Women’s World Cup
Requirements:
Bachelor’s Degree or similar level of education
Minimum of 2 years of work experience in the hospitality industry
Strong communication skills – oral and written
Experience coordinating complex projects
Strong organizational, customer service and attention to detail
Fluent/Native in English and Portuguese are required for this position
Proficient in MS Office (Excel, Word, PowerPoint, Visio & Project) and planning software and online collaboration tools
