A typical day for an AP/AR Specialist involves a balanced set of core responsibilities. On the Accounts Payable side, this includes processing and verifying vendor invoices, ensuring all expenditures are accurate and authorized, and executing timely payment runs via checks, EFT, or other methods. They diligently reconcile vendor statements, resolve any payment discrepancies, and maintain positive vendor relationships. Concurrently, on the Accounts Receivable side, they generate and issue customer invoices, accurately apply incoming payments to the correct accounts, and manage collections by sending statements and following up on overdue balances. A significant part of the role involves performing vital reconciliations—matching bank deposits to receipts, reconciling corporate credit cards, and ensuring the general ledger accurately reflects all transactions. These specialists are also key contributors to the month-end close process, preparing journal entries and supporting reports that provide a clear picture of the company's financial standing. To excel in these jobs, candidates generally need a foundational understanding of accounting principles, including accruals and basic financial reporting.
