Calendar & Schedule Management: Seamlessly manage complex, rapidly changing calendars. Prioritize meetings, resolve scheduling conflicts proactively, and allocate time efficiently across global time zones
Travel Coordination: Arrange comprehensive domestic and international travel itineraries, including flights, hotels, ground transportation, and visas. Provide detailed, minute-by-minute itineraries and remain available for real-time troubleshooting
Expense & Invoice Management: Process and track complex expense reports in a timely manner, ensuring strict compliance with Blackstone’s internal corporate policies and accounting guidelines
Meeting & Event Logistics: Coordinate high-profile meetings, investor presentations, and internal events. Secure conference rooms, arrange catering, set up AV/Zoom infrastructure, and prepare necessary briefing materials or presentations
Communication & Gatekeeping: Serve as the primary liaison between executives and internal/external stakeholders (including portfolio company CEOs, institutional investors, and senior leadership). Screen incoming calls, manage correspondence, and route inquiries appropriately
Ad-Hoc Projects: Assist with special projects, research, and data entry as required by the business group to support investment or operational workflows
応募資格
Minimum of 5+ years of executive support experience, specifically serving as a Secretary / Executive Assistant to a CEO, President, or Board-level Executives (役員) within a Japanese company (日系企業)
Solid understanding of Japanese business etiquette (keigo, omotenashi, corporate hierarchy, and protocol for interacting with external VIPs)
English: Business-level proficiency (both written and spoken). Capable of handling global internal communications, coordinating with overseas offices, and managing English documentation seamlessly
Japanese: Native-level fluency (impeccable written and spoken communication)
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and travel/expense management systems (e.g., Concur)
Superior organizational skills with a laser-sharp attention to detail. Proven ability to multitask, prioritize under pressure, and pivot quickly when priorities shift
Absolute integrity and demonstrated ability to handle sensitive, highly confidential financial and proprietary information
